How to get and use County email

Microsoft 365 – Email, SharePoint & Teams

Avon Scouts provides access to Microsoft 365 services for eligible County and Senior District volunteers. These tools – Outlook, SharePoint and Teams – allow you to collaborate, communicate and stay organised in your scouting role. This section explains how to sign in, how to request your account, and what to do if you run into any problems.

Requesting an Avon Scouts Email Address

All County and Senior District volunteers are eligible for an @avonscouts.org.uk email address. This provides secure access to Microsoft 365 tools and ensures that all official communication is professional and consistent.

  • Send an email to communications@avonscouts.org.uk.
  • Include your full name, Scouting role, district, and a contact number.
  • Once approved, you’ll receive a welcome email with setup details and a temporary password.

Your information is only used to verify your role and create your account. You’ll normally receive your details within a few working days.

How to Sign In to Outlook

  1. Go to outlook.office.com.
  2. Enter your Avon Scouts email address (e.g., firstname.lastname@avonscouts.org.uk).
  3. Enter your password and complete Multi-Factor Authentication (MFA) if prompted.
  4. Once signed in, you’ll see your mailbox, calendar, and Microsoft 365 apps.

For quick access, bookmark Outlook on your browser or download the Outlook mobile app from your device’s app store.

How to Sign In to SharePoint

  1. Visit avonscouts.sharepoint.com.
  2. Sign in using your Avon Scouts email and password.
  3. Approve the MFA prompt if required for security.
  4. Browse sites, policies, shared documents and collaborative pages relevant to your team.

Tip: Pin your most used SharePoint sites for quick access next time you log in.

How to Sign In to Microsoft Teams

  1. Go to teams.microsoft.com or open the Teams desktop or mobile app.
  2. Sign in with your Avon Scouts email and password, then complete MFA if prompted.
  3. Join your relevant teams and channels to collaborate, share files and hold meetings.

You can use Teams for online meetings, file sharing, and chat with your section, district, or county colleagues.

First-Time Setup Tips

  • Look for your welcome email – it includes your username and temporary password or activation link.
  • When prompted, set a new, strong password (at least 8 characters, with a mix of letters and numbers).
  • Install and set up the Microsoft Authenticator app for MFA to keep your account secure.
  • If you cannot find your welcome email or cannot sign in, contact communications@avonscouts.org.uk.

Make sure your phone’s date and time are set automatically so your MFA codes stay in sync. If you lose access to your authenticator, contact the support team to reset it.

Troubleshooting & Support

  • Forgotten your password? Use the “Forgot password” link on the Microsoft 365 sign-in page if enabled, or email the communications team to reset it.
  • Having trouble with MFA? Check that your device’s time is automatic, and that you’re approving the correct Avon Scouts account request in the app.
  • Can’t find a SharePoint site? Ask your team lead to confirm you’ve been granted access, then refresh your SharePoint home page.
  • Need direct help? Email communications@avonscouts.org.uk with your name, role, district and a short description of the issue.
